CareWorks ABA: Four Weeks from Spreadsheets to a Governed Intake Pipeline in ABA Therapy

CareWorks ABA

About the Client

CareWorks ABA is a multi-state provider of Applied Behavior Analysis (ABA) therapy for children and young adults with autism spectrum disorder. The organization delivers center-based, in-home, and community-based services across Virginia, North Carolina, and New Jersey. CareWorks differentiates itself by eliminating common treatment barriers through immediate service availability without waitlists, rapid insurance verification, and individualized, BCBA-led care plans.

The Challenge

As CareWorks ABA expanded across state lines, managing its intake pipeline and multi-region growth using manual Excel tracking spreadsheets created severe operational bottlenecks. Managing patient data solely within CentralReach resulted in misclassified intake entries and skewed performance metrics. Additionally, matching Board Certified Behavior Analysts (BCBAs) to incoming cases relied on human memory and fragmented communication across teams.

The Solution

Pulse Professional Services (formerly Madison Ave Consulting) implemented a phased execution strategy using the Pulse Core framework (Quickstart + Jumpstart packages) to orchestrate intake, case matching, and executive reporting directly around CareWorks’ clinical system:

  • Centralized Intake Command Center: Replaced manual spreadsheet tracking with an automated, eight-stage pipeline covering New Lead, Attempted Contact, Document Collection, Qualification Review, Assessment, Authorization, Ready to Start, and On Service.
  • CentralReach Client Provisioning: Through Pulse Connect, referrals in Pulse automatically provision client profiles in CentralReach.
  • BCBA Staffing & Case Matching: Built an interactive matching module featuring geographic map overlays and scheduling filters to match incoming patients with credentialed local BCBAs based on service line (Center, Home/Community, or Hybrid) and real-time availability.
  • Data Integrity & Automated Compliance: Embedded mandatory validation logic enforcing exact child-name mapping to prevent downstream CentralReach sync errors, alongside clinical rules that automatically route non-diagnosed leads out of the active funnel.
  • Enterprise Infrastructure & Adoption: Configured Microsoft Single Sign-On (SSO) and Outlook calendar integrations to streamline daily user adoption and maintain enterprise security.

The Results

  • 4-Week Implementation: Fully deployed in four weeks, followed by two weeks of go-live hypercare support.
  • 8 Governed Intake Stages: Standardized patient onboarding into a single system of truth while leaving clinical operations intact within CentralReach.
  • Automatic CentralReach Provisioning: Referrals move from the intake pipeline into CentralReach as client profiles automatically, connecting operations to the clinical system.
  • Unified Operational Visibility: Intake coordinators work from a single command-center dashboard with priority worklists, while leadership gains self-service dashboards to monitor active census, pipeline velocity, stage bottlenecks, and weekly authorized-hours utilization.
